Ensure each client home is staffed according to state regulations.
Communicate any staffing issues and complete schedules for assigned homes.
If a staff member does not report to work or is otherwise out of the home, the Program Coordinator will reflect the staff's absence on the schedule to ensure proper pay.
Complete time cards for all employees in assigned client homes on a weekly basis.
Complete mileage forms for all employees in assigned client homes on a monthly basis.
Ensure staff complete their housekeeping duties by keeping each client home clean and presentable.
If there are maintenance issues in the home, the Program Coordinator will communicate the needs to the Property Manager or Maintenance, so they can be properly fixed in a timely manner.
Ensure each client home is properly stocked with groceries, cleaning supplies, and other needed items.
Implement new policies and procedures in each client home and assess the effectiveness of overall program standards.
Explain any rules and regulations to all staff and answer their questions.
Maintain public relations with medical offices, referral agencies, state departments, client families, and other resources.
The Program Coordinator will maintain the positive reputation of the company at all times.
Ensure each client reports to all appointments or meetings they have been scheduled for.
If a staff member is unable to transport their client to an appointment or meeting, the Program Coordinator will provide the necessary transport.
Ensure staff are accurately completing all documentation.
Ensure Incident Reports are completed in the proper time period.
Attend all regular, weekly staff meetings, unless an appropriate scenario arrives that would prevent the Program Coordinator from attending said meetings.
Remind staff to complete necessary trainings (DSP, CRMA, First Aid / CPR, CPI).
Check Medication Administration Records (MARs) to ensure each client is receiving the correct medications.
Take note of frequent medication errors and assist staff with any issues involving ordering medications.
Schedule supervisions as needed to assess staff members' performances.
Address each situation with Human Resources beforehand to ensure proper forms and processes are completed correctly.
Keep company morale high by recognizing the hard work done by staff, praising quality work, and reporting grievances to Human Resources to ensure any staff complaints are acknowledged.
